Research Advancement

The Research Advancement team supports your research endeavors and assists you when you have questions.  We are available to assist you in several areas, including:

 

Pre-Award Services

  • Funding opportunity identification

  • Proposal development, preparation, editing and review for compliance (e.g., budget and justification, sponsor- and ASU-specific forms, biosketches, current and pending)

  • Preparation of cost share requests and F&A waivers

  • Liaison between ORSPA and PI

  • Liaison on interdisciplinary and/or intra-institutional collaborations

  • Proposal routing for review/approval

  • Post-submission and just-in-time sponsor requests

Post-Award Services

  • Award setup

  • Liaison between ORSPA and PI

  • Expense processing and/or approval (e.g., requisitions, reimbursements, travel)

  • Account monitoring and forecasting

  • Subaward management

  • Change management (e.g., at-risk requests, pre-award spending, re-budgets, allocation changes, extensions)

Meet your Research Advancement team

What is the proposal submission process at ASU? If you plan to submit a proposal, complete the Proposal Intake Form as soon as possible.  A minimum of three weeks’ notice is required to allow the Research Advancement team the opportunity to provide the best possible service to you for a successful submission.  We understand that some solicitations do not provide sufficient lead time, but to the extent possible, please notify the Research Advancement Team as soon as you can use the group email address SHESCAwards@asu.edu.

Pre-award requests

Contact the Research Advancement team at SHESCAwards@asu.edu for funding opportunities.

Pivot is a tool designed to assist faculty, graduate students, and research staff in searching for external funding opportunities.  It also allows you to create profiles based on your research interests.  It is updated with funding opportunities daily and provides the ability to create alerts based on searches that fit your needs.

Find research expertise, search for collaborators, and publications using experts.asu.  As part of the ASU community, we now have access to experts.asu, a new way to connect with colleagues, build collaborations, share your scholarly works and expertise, as well as find funding.  All tenured and tenure-track faculty at ASU are automatically part of the profiled catalog and can easily be accessible via the public-facing experts.asu site.  Contact RATProposals@asu.edu, and check out the “What is experts.asu?” resource for more information.

Fill out and submit the Proposal Intake Form at least six weeks prior to the grant deadline or as soon as possible.

You may also schedule an appointment with the Research Advancement team to assist you with the proposal process.

The Research Advancement team supports SHESC graduate students with the preparation and submission of external grant applications. If you are planning to apply for a grant in the upcoming year, notify Research Advancement at least three weeks before the deadline or as soon as possible. Submit the Proposal Intake Form, being as thorough as possible. We understand that some of the requested information on the intake form may not apply to you, but please fill out as best you can and feel free to contact us with any questions.  This will assist your designated RA team member in getting your proposal on ASU's submission calendar.

Post-award requests

Once an award announcement is received, a pre-award at-risk request can be submitted requesting approval to start a project while awaiting completion of administrative award start-up tasks.

If your award is incrementally funded and the sponsor is experiencing delays with getting the next disbursement of funds, a post-award at-risk request can be submitted requesting approval to continue the work while awaiting the new funding. This process also includes sponsors who fund annually on a multi-year project.

If you are wanting to submit a cash advance request for grant-related expenses, review RSP 502-02:  Sponsored Project Spend Authorizations and reach out to Research Advancement with any questions/concerns.  Allow at least  3-5 business days for cash advances to be processed and approved.  More details about this process, including timeline, forms, and requirements for both initiating and closing your cash advances can be found on our Fiscal Oversight team page.

There are two different types of cash advances:

In accordance with FIN 403: Spend Authorization - Cash Advance and FIN 420–01: Faculty and Staff Reimbursements: Accountable Plan Rules, it is critical that you turn in your receipts as soon as possible and provide all necessary information in a timely manner (i.e. within 7-60 days after expenses are incurred and/or advance timeframe expires).  Failure to do so could result in your advance being taxable to you.

Contact the Research Advancement team for change/modification support, including:

  • Adding a Subcontract
  • Allocation Changes
  • At-Risk Requests
  • No-Cost Extensions (NCE) -- Reach out to Research Advancement at least 90 days before the end date of your award to extend.
  • Personnel Changes
  • Re-Budgets -- If you are requesting additional funds on an existing award, it must go through Pre-Award first.
  • Any change in terms/sponsored communication

Complete the Purchases and Reimbursements Request Form for any purchases needing to be made against your grant.  Allow up to 72 hours for all purchase requests to be processed.  Include all pertinent details; any missing information may delay your request.

At the end of every month, all faculty with research accounts receive a PI Report which will provide the status of all active grants.
